Information notice on the use of personal data by the Network Office of IMISCOE (International Migration Research Network)

The Network Office of IMISCOE (International Migration Research Network) (hereinafter referred to as "IMISCOE Network Office") collects and processes your personal data in accordance with the provisions of the General Data Protection Regulation (EU 2016/679, hereinafter referred to as "GDPR").

Data controller

The IMISCOE Network Office is managed by the Centre for Ethnic and Migration Studies of the University of Liège which registered office is located at Place du 20-Août, 7 à 4000 Liège. The University of Liège is a public institution with two legal personalities1: it acts, on the one hand, as the French Community of Belgium (of which it is a decentralized body) (0807.970.507) and, on the other hand, as a decentralized and autonomous public institution, called "Le Patrimoine de l'Université de Liège" (0325.777.171). It is duly represented by its Rector.

Processing of personal data by the IMISCOE Network Office

The IMISCOE Network Office processes your personal data as follows:

  1. Membership Management
    • Data processed: Name, first name, e-mail address, postal address, position, login.
    • Purposes: Administrative management intended to create a scientific network bringing together researchers from different backgrounds but interested in the study of migration.
    • Legal basis: Performance of a public interest mission (GDPR, art. 6-1, e.). This mission of public interest in research is recognized to the University of Liege by the Decree of the Government of the French Community of Belgium of November 7, 2013.
    • Retention period: As long as the member is registered in the IMISCOE network.
    • Recipients: Our subcontractors processing personal data on behalf of the IMISCOE Network Office, to the extent provided for in the contracts concluded with them. In the event of the IMISCOE Network Office moving to a different institute, data collected by IMISCOE Network Office may be transferred to the new institute. Data may not be transferred to other third parties without users’ consent.

  2. Migration Research Hub Management
    • Data processed: Name, first name, e-mail address, postal address, position, login, scientific affiliation, academic curriculum, research projects, photo, publications, scientific interests.
    • Purposes: Migration Research Hub management.
    • Legal basis: Performance of a public interest mission (GDPR, art. 6-1, e.). This mission of public interest in research is recognized to the University of Liege by the Decree of the Government of the French Community of Belgium of November 7, 2013.
    • Retention period: As long as the member is registered in the Migration Research Hub.
    • Recipients: Our subcontractors processing personal data on behalf of the IMISCOE Network Office, to the extent provided for in the contracts concluded with them. In the event of the IMISCOE Network Office moving to a different institute, data collected by IMISCOE Network Office Hub may be transferred to the new institute. Data may not be transferred to other third parties without users’ consent.

  3. Organization of scientific activities
    • Data processed: Name, first name, e-mail address, postal address, nationality, position, login, scientific affiliation, academic curriculum, research projects, photo, publications, scientific interests.
    • Purposes: Registration of participants in the scientific activities of the IMISCOE network, including reporting purposes; Organizational work for the purposes of scientific activities.
    • Legal basis: Performance of a public interest mission (GDPR, art. 6-1, e.). This mission of public interest in research is recognized to the University of Liege by the Decree of the Government of the French Community of Belgium of November 7, 2013.
    • Retention period: As long as the member is registered in the IMISCOE network.
    • Recipients: Our subcontractors processing personal data on behalf of the IMISCOE Network Office, to the extent provided for in the contracts concluded with them; executive members of IMISCOE network for the concrete organization of scientific activities; Participants to the scientific activities. In the event of the IMISCOE Network Office moving to a different institute, data collected by IMISCOE Network Office Hub may be transferred to the new institute. Data may not be transferred to other third parties without users’ consent.

  4. Publications (articles, books) in collaboration with Springer
    • Data processed: Name, first name, e-mail address, contact information, scientific affiliation, membership / participation in professional organisations, personal identification data
    • Purposes: To facilitate the editing work of the publishing director (who is in Rotterdam) who publishes newspapers and books in a dedicated collection.
    • Legal basis: Performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract (GDPR, art. 6-1, b.).
    • Retention period: Retention periods set by Springer. IMISCOE Network office acts only as an intermediary.
    • Recipients: Springer; our subcontractors processing personal data on behalf of the IMISCOE Network Office, to the extent provided for in the contracts concluded with them. In the event of the IMISCOE Network Office moving to a different institute, data collected by IMISCOE Network Office Hub may be transferred to the new institute. Data may not be transferred to other third parties without users’ consent.

Any communication (electronic or otherwise) addressed to the IMISCOE Network Office may also be retained. Sometimes additional personal data related to the situation concerned are requested. These data may be used and processed by the IMISCOE Network Office for the purpose of managing their relations with their contacts, for the purpose of checking the regularity of transactions and combating any abuses and irregularities. IMISCOE Network Office may also disclose all or part of this information to legal or legal services that will ensure data protection under these conditions to comply with a legal obligation.

Rights of the data subject

As provided for in the GDPR (Art. 15 to 23), each person concerned by the processing of data may, by proving his identity, exercise a series of rights:

  • to obtain, free of charge, a copy of the personal data concerning her/him and, where appropriate, any available information on their purpose, origin and destination;
  • to obtain, free of charge, the rectification of any inaccurate personal data concerning her/him and to obtain that incomplete data be completed;
  • to obtain, subject to the conditions laid down by the regulations and free of charge, the deletion of personal data concerning her/him;
  • to obtain, subject to the conditions provided for by the regulations and free of charge, the limitation of the processing of personal data concerning her/him;
  • to obtain, free of charge, the portability of the personal data concerning her/him and that he/she has provided to the University, meaning to receive, free of charge, the data in a commonly used structured format, provided that the processing is based on consent or on a contract and that it is carried out using automated processes;
  • to object, subject to the conditions provided for by the regulations and free of charge, for reasons relating to her/his particular situation, to the processing of personal data concerning her/him;
  • to withdraw her/his consent, without any justification being necessary;
